What do you need to calculate?

Start with job costs, employer expenses, or your labor-to-sales ratio. Each tool answers a different budgeting question.

How the three tools work together

If you only know an employee’s base wage, start with the Labor Burden Calculator to account for employer-paid expenses. Use that result when estimating a crew or job in the Labor Cost Calculator. Once you have labor costs and matching revenue, use the Labor Cost Percentage Calculator to review the share of sales spent on labor.

You can also go straight to the tool you need. If you already have a total labor cost from payroll or job records, you can enter it directly into the percentage calculator.

Keep costs and hours consistent

A loaded hourly rate already includes the employer costs used to calculate it. Do not add the same burden again in a job estimate. Match a paid-hour rate to paid hours and a productive-hour rate to productive hours, without repeating the same productivity adjustment.

For a labor-to-revenue comparison, use costs and sales from the same dates and business scope. A monthly crew cost should be compared with the relevant monthly revenue, not a week’s sales.

Before you use your result

The calculators use your inputs and editable examples. They do not retrieve local pay rates or automatically apply payroll tax rules. Review the formulas and assumptions on the calculator page.

Labor cost is one part of a business budget. Materials, equipment, rent, and other expenses may still need to be covered. A labor estimate is not automatically a customer price, and a labor percentage is not a profit margin.

Labor and workforce calculator FAQs

What is the difference between labor cost and labor burden?

Labor cost is the amount you spend on the work or period being measured. Labor burden is the employer cost beyond gross wages, such as employer taxes and benefits. Burden can be included when building a total labor cost estimate.

Is labor burden percentage the same as labor cost percentage?

No. Burden percentage compares extra employer costs with gross wages. Labor cost percentage compares labor spending with revenue. Their denominators are different, so the results should not be used interchangeably.

Which calculator should I use first?

Use Labor Cost for a crew or job estimate, Labor Burden when you need to work out employee costs beyond wages, or Labor Cost Percentage when you already have labor and revenue totals. You do not need to use all three.

Can I use these tools for a small service business?

Yes. Enter figures that match your business, whether you are estimating cleaning crews, field service work, or another team. The tools use your costs rather than assuming one pay rate or labor target suits every business.
